01The challenge
BrSupply has worked in corporate supplies for 17 years and serves customers all over Brazil. With new operational and administrative sites and a larger customer base, its ERP at the time needed constant adaptations to deliver the cost control, inventory accuracy and tax compliance the operation required.
The choice of SAP S/4HANA came after a few years of evaluating alternatives, including staying with the system already in use. There were two conditions for the switch. Customer service could not stop during the transition, and the systems that support the operation, such as SIC and the WMS, would keep running alongside the new ERP.
02What we did
The project followed the SAP Activate methodology and favored the system's standard scenarios, the scope items, to reduce customization. The scope covered Purchasing and Materials Management (MM), Sales (SD), Finance (FI) and Controlling (CO), with process reengineering before configuration.
The team built 31 integrations, 18 of them with SIC, 9 with GRC and 4 with DATI, so the satellite systems would keep talking to the ERP. Testing ran in three waves, with 706 validation scenarios, more than 830 pieces of evidence and more than 120 unit test manuals. Before cutover, the quality environment processed more than 10,000 integrated sales orders and 600 purchase orders.
BrSupply dedicated senior managers to the project, and Intellevo kept key people available at critical moments. Six months before go-live, both teams began reviewing risk points every day, to decide based on tests and checkpoints whether the operation was ready. The cutover had 350 activities.
03The result
Go-live took place at the end of 2024 and was followed by hypercare for stabilization. The first gains showed up in cost and margin control, tracked in real time, in a faster financial close and in inventory accuracy, which is at the heart of running a distributor.
